Job Description – Duty Manager


1. Purpose of the Role


The role of Duty Manager has been created to assist with the management of events at Greyfriars Charteris Centre (GCC) or other locations, primarily during weekday evenings and weekends. Events typically relate to the commercial activities of GCC, including rehearsals, private hires, social enterprise activities, and public events. The Duty Manager acts as the primary point of contact for ensuring the smooth operation and management of these events and will liaise closely with GCC Centre Management.

The Duty Manager is empowered to make operational decisions during events to ensure safety, compliance, and customer satisfaction.

 

2. Expected Outcomes


The Duty Manager will be expected to:

  • Deliver successful events with excellent customer relations.

  • Manage events in a safe, secure, and efficient manner.

  • Foster positive relationships with clients to encourage repeat bookings.

  • Ensure full compliance with GCC’s health, safety, and operational policies.

 

3. Key Tasks and Responsibilities


Event Preparation and Venue Management

  • Ensure events are fully prepared by activating appropriate heating and lighting, and confirming fire exits are unobstructed and attended.

  • Maintain the building in a clean and presentable condition before, during, and after events.

  • Attend to substantial cleaning duties, including tidying, clearing, and ensuring the venue is left in excellent condition following each event.

  • Secure the building at event completion, including locking fire exits and switching off heating and lighting where appropriate.

  

Safety and Security

  • Ensure the safety and security of all personnel, including performers, guests, volunteers, and the general public attending events.

  • Respond promptly and effectively to emergencies, including fire, medical, and security incidents.

  • Conduct risk assessments as needed before events and ensure compliance with GCC’s Health and Safety Policy.

  • Coordinate with external emergency services when required.


Staff and Customer Relations

  • Brief and supervise any volunteer or paid staff assisting with the event.

  • Serve as the main point of contact for event attendees and deal with enquiries comprehensively.

  • Report any incidents or issues to the GCC Centre Manager promptly.


Additional Duties

  • Maintain accurate records of incidents and actions taken during events.

  • Undertake stock take and inventory management as required.

  • Perform any other duties as directed by the Centre Manager.

 

4. Training


  • Attend GCC briefings concerning venue layout, fire exits, alarm systems, and building security.

  • Participate in periodic training meetings (e.g., quarterly or as scheduled).

  • Complete mandatory first aid, health and safety, or other relevant training courses provided by GCC or accredited third parties.

  • Engage in refresher training as required to maintain competence.
